Running your first blood donation camp with VenaShield
From registering the organizer to the post-camp report: inspection before going live, the camp team, offline collection and in-ward.
A camp brings together three parties: your center, an organizer (a college, company, NGO or community group) and the donors. This guide follows a camp from the first call with the organizer to the report afterwards.
Step 1: Register the organizer
Open Camp Management → Organizer Registry and add the organizer, with:
- name
- type
- contact person
- phone
Every call, visit or message with them can be logged against the organizer. Over time this becomes their track record: how many camps they held and how they went.
Site admins and medical officers can register organizers.
Step 2: Schedule the camp
In Camp Dashboard, create the camp with:
- the organizer
- the date and times
- the location
- a target number of units
The camp starts out as scheduled.
Step 3: Inspect the venue before the camp
A medical officer inspects the venue and fills in the inspection checklist in Camp Dashboard:
- each item on the checklist, with remarks
- number of beds and expected donors
- the occasion
- the doctors and hospitals on call
- the inspector's notes
A camp cannot go live until a passing inspection is signed.
Step 4: Assign the team
Assign the camp team from your approved staff by role:
- phlebotomists
- the medical officer
- desk staff
Step 5: Camp day
- Donors who pre-registered show their QR code at the desk (part 4). Walk-ins register as usual.
- Phlebotomists collect the bags. The live camp view shows progress against the target.
- With no signal, collection carries on offline and syncs later.
Step 6: Back at the center
Bring the bags back in with Camp In-ward. Each unit then goes through testing and release like any other.
Step 7: The post-camp report
Camp Reports works out the camp's results from its own records:
- how many donors registered
- how many were deferred, and why
- how many donated
- units by blood group
- wastage
- donor reactions
Staff can add feedback on the camp.
The site admin chooses who receives the report, in Administration → Camp Report Recipients. The organizer gets the totals only, never donor details. Today the report is shared inside the app. Your team passes the organizer's copy on to them.
